Room Entry Procedure

For the safety and security of residents and employees, the following procedures MUST be adhered whenever an employee or contractor uses a key to enter an occupied room or apartment in our Residence Hall(s). When it is uncertain if the room is occupied, staff is to assume it is and act based upon the following procedures. Please note: Standard room entry hours are 10am- 6pm, Monday- Friday.


Procedures to Follow:
  1. Employee or Contractor must first have a valid reason –work-order, per your supervisor's request, student request, or an emergency- to enter a resident's room or apartment.
  2. The staff member or contractor must have on a University photo ID in an easily identifiable location (if you have on a coat or jacket, please have it on the outside of your garment.)
  3. Employee or Contractor must knock on the door and wait at least 10 seconds for a response. Please note, resident could be in the bed, shower, have on earplugs, etc. therefore please be courteous and allow the resident time to respond.
  4. If there is no response after first knock, knock again (slightly harder) and wait at least 10 seconds. If there is no response after second knock, knock a third time and wait at least 10 seconds.
  5. If after the third knock and no one responds, then use key to unlock the door and verbally announce your position (Housing Staff, Housekeeping, Maintenance, etc.), as you enter.
  6. Prop door open with chair, toolbox, etc., until you clear the entire apartment. Every internal door, within the apartment, that is closed must be knocked on before proceeding with repairs. This will ensure that students or staff members are aware that someone has entered their space.
  7. Place the “Work in Progress Sign” on the outside door handle before beginning work. Door may then be closed.
  8. Touch nothing in the room except for the area/items needing your attention.
  9. Remove nothing from the room unless a work order clearly indicates what item needs to be removed. When removing any items, have a second staff member present to whiteness items removed.
  10. When work is complete, leave a courtesy card or pink slip indicating work has been performed (or work is in progress) before leaving.
  11. Lock the door upon leaving- check and make sure door properly latches. Some locations require a firm pull on the door handle before door properly secures itself.
  12. Report any suspicious circumstances to University Housing Office.
  13. If working inside of a bedroom (apartment style living) the bedroom door should remain open at all times.
  14. If an employee feels uncomfortable working inside of student's room due to the student's behavior, the employee should politely exit the room and reschedule.
  15. Don't forget to remove your “Work in Progress” sign!
